Terms & Conditions

How we quote, what changes cost, who owns the code, and what happens when a project stalls.

Quotes and scope

A quote covers exactly what is written in it. Additional functionality — including small improvements requested during the build — may incur additional cost, which we will tell you about before doing the work rather than after.

Please check the quote covers everything you need before accepting. Where requirements are not specified, we proceed on our own reasonable interpretation.

Acceptance

An agreement is formed when you confirm in writing, sign the quote, or make the initial payment — whichever happens first.

Your responsibilities

Content, credentials, API access and any data the system needs should reach us within the first two weeks of the project. Delays on your side may push the timeline and, if prolonged, the cost.

For AI projects specifically, we need real sample data. A system tuned on invented examples will not survive contact with your actual documents.

Timelines

We give realistic timelines and work to them. Where scope changes mid-project, the timeline moves accordingly and we will tell you by how much at the point the change is agreed.

Bugs and changes

Programming errors in what we built are fixed free of charge, during the project and after it.

Design changes after approval, and functional changes after go-live, are quoted separately.

AI performance

AI systems are probabilistic. We will agree measurable accuracy targets with you before the build and demonstrate them on your data before go-live. We do not promise perfection, and any supplier who does is not being straight with you.

Ongoing model quality depends on the underlying providers. Where a provider changes or deprecates a model, we will migrate you — under a maintenance agreement this is included.

Running costs

Model usage, telephony minutes, WhatsApp conversation charges and cloud hosting are billed by those providers and are separate from our fees. We will model expected monthly cost before you commit.

Testing

We test on current versions of Chrome, Edge, Firefox and Safari, and on current iOS and Android devices, unless something else is agreed in writing.

Projects on hold

If a project stalls on your side for more than two months, we may need to requote — team availability and provider pricing both move. We will always tell you before any charge applies.

Ownership

On final payment, full ownership of the code we wrote for you transfers to you, along with the repository and deployment access. We retain ownership of any general-purpose internal tooling and libraries that predate your project.

Confidentiality

We treat your data, documents and business processes as confidential and will sign an NDA on request before any discovery work begins.
