AI Attendance & Payroll Assistant
An attendance and payroll assistant consolidates attendance records, leave, overtime and advances into a payroll-ready sheet, with every exception highlighted for a human to decide. It compresses the multi-day monthly scramble into an afternoon of judgement calls.
Who it's for

Key takeaways
- Payroll preparation is deadline-bound, error-prone and almost entirely mechanical.
- The value is in surfacing exceptions, not in the arithmetic.
- Attendance data usually arrives from three or four incompatible sources.
- Builds in 4–6 weeks from ₹65,000.
- It prepares payroll. It does not disburse it, and it should not.
The same three days, every month
For businesses with 20 to 500 staff, payroll preparation is a recurring emergency. Someone pulls attendance from a biometric machine, leave from a register or an email trail, overtime from supervisors' notes, and advances from the accounts ledger — then reconciles them in a spreadsheet against a deadline.
It is mechanical, it is under time pressure, and errors in it are personal. A staff member short-paid because their leave was recorded twice has a legitimate grievance and it damages trust well beyond the amount involved.
Consolidating sources that do not agree
The core difficulty is that the inputs come from different places with different assumptions.
| Source | Usual format | Common problem |
|---|---|---|
| Biometric or face attendance | Machine export | Missed punches, duplicate scans |
| Leave records | Register, email or HR tool | Approved verbally, never recorded |
| Overtime | Supervisor notes or WhatsApp | Inconsistent, sometimes disputed |
| Advances and loans | Accounts ledger | Not linked to the payroll cycle |
| Shift rosters | Spreadsheet | Changed mid-month without update |
| New joiners and exits | HR email | Pro-rata calculated by hand |
The agent pulls all of these, aligns them to your payroll calendar, and produces one consolidated view with every conflict flagged rather than silently resolved.
Exceptions are the output that matters
The arithmetic is trivial and was never really the problem. What takes the time is finding the fifteen cases that do not fit: a staff member with an in-punch and no out-punch, someone marked present on a day their leave was approved, overtime claimed beyond the shift roster, an advance deduction that would take net pay below a floor.
The agent surfaces those with the conflicting evidence side by side, so the HR person decides in seconds rather than investigating for an hour.
Statutory calculations are rules, not judgement
PF, ESI, professional tax and TDS are governed by rules with thresholds, ceilings and state-specific variation. They are exactly the sort of thing that gets miscalculated when done by hand under deadline.
We encode them as an explicit rules table maintained with your accountant, not as something the model reasons about. When a threshold changes in the budget, the table changes and every subsequent run reflects it.
Where the disputes come from
Almost all payroll grievances trace to attendance data rather than to arithmetic. A missed punch, a shift changed verbally, leave approved in conversation and never recorded.
Because the agent flags these as they occur rather than at month end, they can be resolved while people still remember what happened. That shift — from reconstructing a disputed day three weeks later to confirming it the next morning — removes most payroll conflict, and it is the benefit clients mention afterwards rather than the time saved.
Ready each cycle once it is live
Consolidation from your biometric, leave, overtime and advance sources; alignment to your payroll calendar; exception flagging with evidence; statutory calculations from a maintained rules table; pro-rata for joiners and leavers; an approval step; export in your payroll or bank upload format; and a monthly exception report showing where the data quality problems actually are.
FAQ
Attendance & Payroll Assistant — your questions
Does it work with our biometric machine?
If it can export attendance logs — and essentially all can, even if only to CSV on a USB drive — then yes. Network-connected devices are simpler because collection is automatic. We have not yet met a device we could not read from, though some require a scheduled manual export.
Can it handle multiple shifts and sites?
Yes, including night shifts crossing midnight, rotating rosters and staff working across sites in one cycle. These are exactly the cases where manual preparation goes wrong most often, so they are worth encoding carefully during the build.
What about statutory changes?
Rates and thresholds live in a table we maintain with your accountant, not inside the model. When something changes, the table updates and the next run is correct. We flag known changes as they are announced but the final call stays with your compliance advisor.
Does it replace our payroll software?
No. It prepares the input that payroll software or your bank upload needs. If you have no payroll system, the output is a clean sheet you can process manually — but for anything above a few hundred staff, proper payroll software alongside this is the right combination.
