AI Expense Report Agent

An expense agent lets staff photograph a receipt and send it on WhatsApp. It reads the amount, date and vendor, categorises the spend, checks it against your policy, and files the claim — removing both the fortnightly form-filling ritual and the fortnightly chasing that follows it.

Who it's for

Companies with field staff or frequent travel.

What changes

Expense season stops being a fortnight of misery.

Starting at
₹65,000
Timeline
3–6 weeks
Built from
Vashi, Navi Mumbai

Key takeaways

  • The friction is the submission, not the approval. Fix submission and everything downstream improves.
  • WhatsApp is the right channel because field staff already live there.
  • Policy checking at submission prevents most of the arguments at approval.
  • Builds in 3–5 weeks from ₹65,000.
  • Only worth it with meaningful field or travel spend across a real number of staff.

Why expense claims are always late

Not because staff are disorganised. Because the process asks them to keep paper receipts for two weeks, then sit at a computer, open a spreadsheet or portal, and transcribe them one by one from a crumpled pile.

So it gets deferred to the last possible day, done badly from a half-complete pile, and the finance team spends the following week chasing missing receipts for amounts nobody now remembers.

The fix is not a better form. It is removing the gap between spending and submitting.

Photograph it in the moment

The staff member pays for lunch with a client, photographs the bill, and sends it on WhatsApp. That takes eight seconds and happens at the table rather than a fortnight later.

The agent replies immediately with what it read — vendor, amount, date, proposed category — and asks for anything missing, usually the business purpose or which client it relates to. The claim is complete before the person has left the restaurant.

The receipt itself can then be thrown away, which removes the other half of the problem.

What gets checked at submission

Missing purposeNo client or project statedAgent asks before filing
Personal itemsAlcohol where policy excludes itSplit out or flagged per your rules
GST claimabilityVendor GSTIN present or notRouted for input credit where valid

Checking at submission rather than at approval changes the dynamic entirely. The staff member finds out the claim is over the limit while they can still explain why, rather than three weeks later when finance rejects it and everyone is annoyed.

The GST input credit nobody claims

A meaningful share of business expense receipts carry a vendor GSTIN and are eligible for input credit. In practice much of it goes unclaimed because identifying eligible receipts manually across hundreds of small claims is not worth anyone's time.

The agent identifies GSTIN-bearing receipts automatically and routes them into a separate stream for your accountant. For businesses with substantial travel and field spend, this recovery frequently exceeds the cost of the system.

Approval that does not become a bottleneck

Claims within policy and under a threshold can auto-approve, which removes most of the manager's queue. Anything flagged goes to the approver with the specific issue stated, not as an undifferentiated list.

Reimbursement runs export to your payroll or accounting system on your normal cycle. The reporting that comes out of it — spend by category, by person, by client, by month — is usually the first time businesses can see this clearly, because previously it lived in spreadsheets of varying quality.

In place when the build finishes

WhatsApp submission with instant confirmation, receipt extraction with GSTIN detection, category and policy checking at submission, duplicate detection, missing-information prompts, auto-approval within thresholds, exception routing to approvers, export to payroll or accounts, and reporting by person, category and client.

FAQ

Expense Report Agent — your questions

What if the receipt photo is bad?

It asks for a better one immediately, while the person still has the receipt in their hand. That is the entire advantage of submitting at the moment of spend — a blurry photo two weeks later is unrecoverable, whereas a blurry photo now is a five-second retake.

Can staff submit without WhatsApp?

Yes — email and a simple web upload are both supported. But in Indian field teams WhatsApp gets an order of magnitude more compliance than anything else, so we build it as the primary channel and treat the others as fallbacks.

Does it handle per-diem and mileage?

Per-diem is straightforward — it is a rule rather than a receipt. Mileage can be logged with start and end readings, or estimated from a route where you accept that. Both are configured to your policy rather than assumed.

How does it integrate with our payroll?

Approved claims export in whatever format your payroll or accounting system accepts — Tally, Zoho, Excel or a direct API where one exists. Most clients run reimbursement on their existing cycle rather than changing it.
