Why every CRM decays

The CRM asks a salesperson to do administration for the benefit of someone else — management, forecasting, the person who inherits the account. The salesperson gets nothing back from it in the moment.

So it gets done badly, in batches, at month end, from memory. Stages get updated only when someone asks. Notes say "followed up" three times in a row. Next actions are blank.

Managers respond with process — mandatory fields, weekly reviews, dashboards. This produces compliance rather than accuracy: fields get filled with whatever passes the validation. Fifteen years of enterprise software history says the discipline approach does not work.

Stage changes are proposed rather than forced. A salesperson can override, and the overrides are worth reading — they usually reveal that your stage definitions mean different things to different people.

The forecast is the actual deliverable

Managers ask for this to reduce admin. What they get is a forecast they can rely on, which turns out to matter more.

When stages update from what was genuinely said, rather than from optimism at month end, the pipeline stops being a work of fiction. Deals that have not moved in six weeks are visibly stalled instead of sitting at 60% because nobody wanted to downgrade them.

Several clients have found their real conversion rate is materially different from what their CRM previously showed. That is uncomfortable and it is the point.

Where salespeople actually benefit

Adoption depends on the salesperson getting something, not just giving. Two things do that work.

First, the pre-call brief: because history is now accurate, the agent can produce a summary before every call — what was discussed last time, what was promised, what to ask. Second, follow-up drafting: the recap email the rep would have written badly at 7pm is drafted immediately after the call for them to check and send.

Which CRMs does it work with?

Zoho, HubSpot, Salesforce, Pipedrive and Freshsales through their APIs, plus custom CRMs where an API or database access exists. If your CRM has neither, we can often write through the interface, though that is more fragile and we will flag it.

Will our salespeople feel monitored?

Some will, at first, and how you introduce it matters more than anything we build. Framed as "we are removing your admin and giving you a brief before every call", adoption is fast. Framed as "management will now see everything", it gets quietly sabotaged. We usually advise giving reps the pre-call briefs in week one, before any manager dashboard appears.

What if a call was not recorded?

It falls back to a short dictated note, which takes the rep thirty seconds and still produces a structured update. Email threads are captured regardless. Coverage is lower without recording but the system still works — it degrades rather than fails.

Can it update deal stages without asking?

It can, and we generally recommend proposing rather than forcing for the first month. Once you have seen the accuracy on your own pipeline, most clients switch the obvious transitions to automatic and keep confirmation on the ones that affect the forecast.
