AI Inbound Call Answering Agent
An inbound call answering agent picks up every call on the first ring, including at 2am and on festival days, works out what the caller needs, answers it or books a callback, and logs the whole conversation. Nothing rings out, and nothing depends on who happened to be free.
Who it's for
Any business where calls come in outside working hours.
What changes
Zero missed calls, including nights, Sundays and festivals.
- Starting at
- ₹85,000
- Timeline
- 3–6 weeks
- Category
- AI Voice Agents
- Built from
- Vashi, Navi Mumbai
Key takeaways
- A missed call leaves no trace, which is why almost no business knows how many it loses.
- Inbound answering has none of the DLT and DND constraints that apply to outbound calling.
- Runs at roughly ₹4–₹12 per minute all-in; builds in 3–6 weeks from ₹85,000.
- Latency, not voice quality, is what makes a call feel robotic — that is where the engineering goes.
- Wrong fit if every call needs judgement about pricing or an exception to policy.
The leak nobody measures
Ask a business owner how many calls they miss in a month and you will get a shrug. The call rang out, nobody logged it, and the caller phoned a competitor. There is no line in any report for it.
The first thing we do on an inbound project is measure it, usually by pulling the call log from the telecom provider and counting unanswered inbound over a normal month. The number is almost always higher than the owner guessed, and it is concentrated in exactly the places you would expect — after 7pm, during lunch, on Sundays, and in the hour when everyone is already on another call.
Why inbound is the right place to start
If you are doing one voice project, do this one. Outbound calling in India brings TRAI registration, DLT templates and DND scrubbing into scope before a single call goes out. Inbound has none of that — the customer called you, which is consent.
It is also the easiest to justify internally, because the before-state is a missed call and the after-state is a booked appointment. Nobody has to model anything.
What it can resolve without a human
| Call type | Handled end to end? | Notes |
|---|---|---|
| Opening hours, address, directions | Yes | Trivially |
| Price and availability enquiry | Yes | If your price list is structured |
| Booking or rescheduling | Yes | With calendar integration |
| Order or delivery status | Yes | With a live systems connection |
| New enquiry qualification | Yes | Then routes or books a callback |
| Complaint | No — routes fast | Detects tone and escalates immediately |
| Price negotiation | No | Routes to a human every time |
| Anything needing an exception | No | Takes details, promises a callback |
Latency is the whole engineering problem
People assume the giveaway on an AI call is the voice. It is not — Indian-English synthesis is now good enough that most callers do not comment on it. The giveaway is the pause.
In a phone conversation, half a second of silence before every reply feels wrong in a way that is hard to articulate but impossible to ignore. Getting from a naive three-second round trip down to something conversational means overlapping speech recognition with generation, streaming the response as it is produced, and predicting turn ends rather than waiting for silence.
That work is most of why a voice agent costs more to build than a chatbot, and it is the thing to listen for when a supplier demos one.
What happens when it cannot help
The transfer matters more than the answering. An agent that cannot resolve something and then cheerfully asks the caller to try again later has made the situation worse than voicemail.
Ours transfers live to whoever is available, with a spoken summary handed to your team member before they take the call, so they are not starting cold. Outside working hours it takes the details, books a specific callback slot rather than saying "someone will call you", and sends a WhatsApp confirmation so the caller has something in writing.
The transcripts are worth more than the answering
Every call arrives in your CRM as a full transcript with a recording, a summary and an outcome. For most businesses this is the first time inbound calls have been searchable at all.
Within a month you can see which questions dominate, which are being asked because your website does not answer them, and which callers are asking for something you do not sell but probably should. That is a product and marketing input you did not previously have, and clients consistently rate it above the labour saved.
Deployment, and the number question
The agent can sit on a new number, or in front of your existing one with rules — answer only after five rings, or only outside working hours, or only when the main line is engaged. Most clients start with after-hours and overflow, then widen once they have listened to a week of recordings and trust it.
That gradual path is the right one. It also means the failure mode during week one is a call handled slightly awkwardly rather than a call that would otherwise have been answered by a person.
What is live at the end
A configured agent with your script and escalation rules, number provisioning and routing, live transfer to your team, recordings and transcripts on every call, automatic CRM logging, callback booking outside hours, and analytics on volume, outcome and where callers drop off.
FAQ
Inbound Call Answering Agent — your questions
Can it answer only after hours and leave daytime calls to us?
Yes, and that is how most clients start. Route by time of day, by ring count, or only when your main line is engaged. It gives you a real trial with no downside — the calls it handles are ones that would otherwise have rung out.
What does it sound like in Indian English?
Close enough that the majority of callers do not remark on it. Indian-English synthesis has improved sharply and handles names and place names far better than it did. We will play you real recordings from a comparable deployment before you commit, rather than a scripted demo.
What if two people call at once?
Both get answered. Concurrency is a configuration setting, not a constraint, which is one of the genuine advantages over a human receptionist. We set the concurrency limit against your peak and you pay per minute used, not per line.
Does it need to connect to our other systems?
Only for what you want it to answer. Hours and directions need nothing. Order status needs a connection to wherever orders live. Booking needs your calendar. We scope this at quoting because it is the main driver of build time and cost.
