Most companies have written down more than they think. The leave policy exists. The deployment checklist exists. The reason the client insisted on that odd integration is in an email from 2023.
What does not exist is any way to find them. The information sits across a shared drive, three WhatsApp groups, someone's laptop and two people's memories. So instead of searching, people ask — and the same three people spend a chunk of every day answering questions they have answered before.
That is a tax on your most experienced staff, and it becomes a genuine risk the moment one of them leaves.
What we ingest
The bot is only as good as what it can read. A typical ingestion for an Indian SMB or mid-market team:

Permissions are the hard part
Accuracy is a solved problem. Access control is where these projects go wrong, and it is the thing to interrogate any supplier about.
A naive build indexes everything into one pool, and then an intern asking about leave policy gets an answer that quietly cites the salary review spreadsheet. There is no recovering from that.

Why citations change adoption
An internal bot that answers confidently with no source gets used twice and then abandoned, because the first time someone acts on a wrong answer, trust is gone.
Every answer ours produces links to the document and section it came from. That does two things: the reader can verify in five seconds, and when the source is out of date they can see that and fix it. The bot becomes a way of finding stale documentation rather than a way of propagating it.

Does our internal data get used to train the model?
No. We use enterprise API tiers where the provider contractually does not train on submitted data, and we tell you in writing which provider is involved and whether the data leaves India. If your policy requires it staying in-country, we architect for that, though it narrows the model options and we will be straight about the quality trade-off.
How do we stop it exposing confidential documents?
Role-based indexes agreed before ingestion, with exclusion as the default. Sensitive categories like payroll sit in a separate index that a different bot serves to a named group. We also log every query, so if something does surface wrongly you can see exactly who saw what.
What if our documents contradict each other?
It will find that, which is uncomfortable and useful. Where two documents disagree the bot surfaces both with their dates and flags the conflict rather than silently picking one. The unanswered-and-conflicting log is usually the most valuable output of the first month.
Can it answer in Hindi or Marathi?
Yes, including where the source documents are in English and the question is not. Staff on a factory floor often prefer to ask in their own language, and answering in kind measurably improves adoption over an English-only tool.
