Lead Qualification Chatbot

A lead qualification chatbot has a short conversation with every enquiry — budget, timeline, what they actually need — scores the answers against rules you set, and routes only the serious ones to your sales team. The rest get a useful reply and no salesperson's time.

Who it's for

Service businesses drowning in low-quality form fills.

What changes

Your sales team stops calling people who were never going to buy.

Key takeaways

  • Stops your sales team calling people who were never going to buy.
  • Qualifies in conversation, not with a form — completion rates are far higher than a five-field form.
  • Scoring rules are yours to change; we do not hard-code them.
  • Builds in 2–4 weeks from ₹45,000, plus roughly ₹2,000–₹6,000 a month to run.
  • Only worth it above roughly 50 enquiries a month. Below that, call everyone.

The problem with a contact form

A contact form asks five questions and gets four lies. People inflate their timeline because they think it gets them attention, or leave budget blank because they do not want to be judged by it, or write "need a website" in a box meant for a brief.

Then a salesperson spends twenty minutes on the phone discovering the enquiry was never viable. Multiply that by every form fill in a month and you have a real cost that never appears on any P&L.

A conversation gets better answers than a form for the same reason a person does: it can ask a follow-up. If someone says their budget is flexible, the bot can ask what they spent on the last comparable project. If they say they need it urgently, it can ask what happens on the deadline date.

What it asks, and how it decides

We build the qualification logic with you, because you know which signals predict a good client and we do not. A typical structure for an Indian services business:

SignalWhat the bot asksWeight
BudgetIndirectly — 'what did you spend on the last one'High
Timeline'What happens on that date if it's not ready?'High
Authority'Who else signs off on this?'Medium
FitIndustry, size, location, existing systemsMedium
UrgencyHas the trigger event already happened?High
SourceWhich page or campaign they arrived fromLow

The score routes the lead. Above your threshold, it books a call directly into a salesperson's calendar and pushes the full transcript into the CRM. Mid-range, it goes to a nurture sequence. Below, it gets a genuinely helpful reply — a price guide, a relevant case, an honest "we are probably not the right fit at this size" — and nobody's afternoon is spent on it.

Where the leads end up

The scoring is worthless if the output does not land in the system your team already uses. We integrate with Zoho, HubSpot, Salesforce, Pipedrive, Freshsales and custom CRMs, and if you do not run a CRM we will write to a Google Sheet and set up WhatsApp alerts instead. That is not a downgrade — for a five-person sales team it is often the correct answer.

Every lead arrives with the conversation transcript attached, the score, and the specific answers that drove it. A salesperson opening the record knows what was said before they dial.

Speed matters more than the scoring

The qualification is the visible part. The bigger effect is usually response time. An enquiry that gets a substantive reply within a minute connects at a far higher rate than one answered the next morning, because the person is still on your website thinking about the problem.

If your current process is a form that emails an inbox someone checks twice a day, the speed improvement alone will justify the project before the scoring does anything.

When not to build this

Below roughly fifty enquiries a month, qualification is a solved problem — you call everyone, and you should. The bot pays for itself when the volume is high enough that triage costs real hours, or when your enquiry quality is so mixed that the team has started ignoring the inbox.

It is also the wrong tool if your product genuinely needs a consultative conversation to scope. In that case build an appointment booking bot instead and let the humans qualify.

What the handover includes

The bot with your qualification logic, scoring you can edit yourself, CRM integration, calendar booking for high scores, a nurture path for the middle, transcripts on every lead, and a dashboard showing score distribution over time. Thirty days of tuning included — the first month always reveals that one of your assumed signals does not predict anything.

FAQ

Lead Qualification Chatbot — your questions

Won't people lie to a bot the same way they lie to a form?

Some will, but less. A form is a wall of fields you fill in defensively; a conversation asks one thing at a time and can follow up. Asking "what did you spend on the last one" gets a truer answer than a budget dropdown, because it is a question about the past rather than a commitment about the future.

Can we change the scoring after launch?

Yes, and you will. We build the rules in an admin page rather than hard-coding them, so you can adjust weights and thresholds without a developer. Most clients change their scoring twice in the first quarter as they see which signals actually predicted a closed deal.

Does it work for high-value or enterprise sales?

Partly. For a ₹6-lakh engagement the bot should qualify lightly and book a call fast, not interrogate. We usually reduce it to three questions and prioritise speed to a human. Heavy qualification is for high-volume, lower-value pipelines.

How does this differ from your website support chatbot?

A support chatbot answers questions; this one asks them. Many clients run both as a single widget that answers freely, then shifts into qualification once buying intent appears. If you want both, say so at quoting and we will build it as one project rather than two.
